How to Report Items Sold at a Discount

The Sales by Category report helps you find items sold at a discount. You can choose a date range and category, then use Discount Type to include discounted sales. Compare Price with Price Sold to see each item's price reduction, including items sold during your category discount promotions.

Open the Reports Module

1. Open the Liberty Inventory Module and select Reports, then Full Reports. You can also use the Reports button on the Inventory toolbar.

Open Full Reports from the Inventory Reports menu

2. In the Reports Module, open the Sales report category.

3. Select Sales by Category.

Select Sales, Sales by Category and Add More Criteria

Note: Open this report from the Reports Module, rather than the limited report menu in POS, so you can select the filters described below.

Set the Date, Discount and Category Criteria

4. Select Add More Criteria if a required filter is not already displayed.

5. Select Date Sold/Posted, Discount Type, and the Category 1, Category 2, or Category 3 filter you need. If a filter is already displayed on your report, you do not need to add it again. In the example below, only Category 1 needs to be added. Scroll down the list if you do not see the filter you want.

6. Select OK to add the selected criteria.

Add a missing category criterion and select OK

7. Set Date Sold/Posted to the sales period you want to review. For a promotion, use its start and end dates. Select Custom when entering a specific date range, then enter both dates. The complete setup screenshot below shows this row marked with number 7.

8. For Discount Type, select Any Discount to include discounted item sales rather than full price sales.

Choose Any Discount from Discount Type

9. Set the category criterion to Is, then select its button with three dots to open the category chooser. Category 1 is the broadest level, Category 2 is the middle level, and Category 3 is the most specific level. Only apply additional category criteria when they are needed to narrow the results further.

10. Highlight the category covered by the promotion in Available Items.

11. Use the single right arrow button to move that category into Selected Items.

12. Select OK to apply the category selection.

Choose a category, move it into Selected Items and select OK

13. Check any other filters saved for your report. Account, location, and item status filters may leave out sales you want to include. Set any filter you do not need to All.

Note: Use the date the item sold, not the date it was entered into inventory. To review discounted sales across the store, leave the category criteria on All.

Show the Items and Preview the Report

14. Under Other Options, leave Suppress detail info unchecked so the report shows individual items instead of totals alone.

15. Leave Suppress group header unchecked to keep the category headings.

16. Leave Suppress group footer unchecked to keep the category subtotals.

17. Select Preview, indicated by the red arrow. The example below also shows the date range and category selection from steps 7 and 9.

Review the date and category filters, keep item detail and category totals, then select Preview

18. Confirm that Report Selection Parameters reflect the intended dates, discount selection, and category.

19. Review Item #, Item Name, Date Sold, Price, and Price Sold. Your report groups items by category and includes category subtotals and a grand total. Compare Price with Price Sold to see an item's price reduction. In the example below, the price is $56.00 and the item sold for $39.20, a reduction of $16.80. This difference is for the item price only. It is not the full receipt total and does not include a calculation of receipt discounts, taxes, fees, or payments.

Confirm the report parameters and compare Price with Price Sold

20. Print the report after reviewing the preview. If you need only category totals, select Suppress detail info and preview again to confirm the summary layout.

What Discount Type Means

Use Discount Type to choose which sales appear in your report. It compares the selling price with the original price and the calculated markdown price. The available choices are Full Price, Any Discount, At Markdown Price, and Below Markdown Price.

Choose Any Discount to find items that sold below their original price. This can include scheduled markdowns as well as other item price reductions. Use the markdown choices when you want to compare the selling price with the markdown price calculated at the time of sale.

Important: Discount Type shows whether an item sold at a reduced price. It does not show why the price was reduced or name the category promotion used. Your results may therefore include other discounts or markdowns in the same category and date range.

Reviewing a Category Discount Promotion

To review your category discount promotion, run Sales by Category with your promotion's dates, the category included in the promotion, and Any Discount. Check the individual item prices as well as the category totals.

Your results may also include scheduled markdowns or other price reductions. Check the individual sales before treating the entire price reduction total as discounts from your category promotion.

Use the Category Discount List report to see your category discount settings, including descriptions, categories, percentages, expiration dates, and whether each discount is active. This report shows your current settings. It does not list the sold items that used each discount or confirm which settings were active on an earlier sale date.

Note: An item's price reduction and a receipt coupon are not necessarily the same. If a coupon is recorded separately from the item's selling price, it may not be included in the difference between Price and Price Sold.

If the Results Are Missing or Unexpected

If a sale is missing, check your date range, category selection, Discount Type, and any other saved filters. Try setting filters you do not need to All, then preview again. If you need to separate refunds from sales, check the report's available disposition criteria and compare the results with the original receipt.

This report does not show the exact category discount name used for each sale. If you need help identifying which promotion was used for a particular sale, contact Resaleworld Support with the receipt number and sale date.
